The field of Applied Behavior Analysis (ABA) is rapidly evolving. Catalyst used to be the first and only option for ABA companies. Now there are several great options! At Teamwork, we’ve demo-ed most of them, if not all. We’ll aim to shortlist the best ABA data collection tools to demo in 2024. Once again, we purposefully didn’t select one winner because there’s reasonably strong feature parity for a select few options.

Understanding the Core Data Collection Needs of ABA Providers

Before diving into the tools, it’s essential to grasp the “core” data collections needs of ABA providers. These checklist items include:

  • Data Collection
    • Multiple Data Types: DTT, ABC, Interval, Duration, Latency, Time Sampling, Customized Prompt Levels, Stopwatch, etc.
    • Task Analysis: Forward chaining, backward chaining, phases, all steps, steps isolated, prompt hierarchy
    • Automated Mastery Workflows: Prompt fading,  auto-progress after hitting mastery criteria, titrated maintenance schedules for mastered targets
    • Graphing: Plotted session data, event lines, phase change lines, opportunities histogram, baseline data, trendlines, split graph by staff, cumulative chart
  • Treatment Planning/Assessment Write-Ups: 
    • Program Libraries: Shared, useful and evolving libraries across different settings, different behaviors, etc. 
    • Templates: Preference assessments, Parent Stress Indexes, Assessments & Reassessments
    • Built-In Testing Integrations: VB-MAPP, ABLLS-R, AFLS 
    • Instructions
  • Documentation
    • Signatures: Provider, Supervisor, Guardian
    • Template(s): Customizable by service code and payor
    • Electronic Visit Verification (EVV)
    • Editing Functionality: Roles allow for certain levels of editing along with historical view of what changes were made
  • Video
    • Asynchronous video recording
    • Asynchronous video modeling
    • Tele-supervision
  • Communication
    • Feedback on data
    • Messaging
  • Integrations: Do they have established integrations with practice management and scheduling? Did they build their own solution which satisfies their customers needs? Do they have open API to make it simple to build partnerships?
  • Access: Can you download your own data easily?

Largest ABA Data Collection Platforms (in alphabetical order)

CentralReach:

  • Features: Almost everything but automated mastery workflows and video functionality
  • Pros: They likely have the largest shared library given the largest customer base, lots of assessment partnerships, and they have a mobile app. CR’s customer success has been really impressive lately! 
  • Cons: No video and a good amount of customization/setup needed or you may allow clinicians to submit sub-par documentation
  • Integrations: Integrated with all the major assessment tools and the largest ABA practice management solution 
  • Disclosure: We’re a CR Customer

Other Impressive Platforms (in alphabetical order)

Chorus:

  • Features: Almost everything but video
  • Pros: Impressive set of features, especially around automatically adding behavior data and summarizing it on session notes and assessments and re-assessments. It felt as though the tool would really make it easy for therapists and supervisors to submit documentation compliant with payors.  
  • Cons: They don’t have video functionality on their roadmap
  • Integrations: Already have a integrated practice management solution. Releasing a full partner ecosystem in 2024 (not just integrating just other tools or RCM, but also adding rate consultants, business advisors, etc.)!

Hi Rasmus:

  • Features: Everything
  • Pros: Impressive video capabilities. They also have clean and easy-to-navigate treatment plans and report template functionality that’s been a big hit and time saver for case supervisors. Hi Rasmus is already testing AI applications and adding that into their product in 2024. 
  • Cons: N/A (we couldn’t find any outside of not matching SpectrumAi’s video tagging feature)
  • Notable Integrations: Aloha, TherapyPMS, Lumary, and FTF Behavior Consulting

Motivity:

  • Features: Nearly everything but slightly limited in video functionality
  • Pros: Really robust data collection tool that is extremely feature rich and very user-friendly and customizable! Everything also saves automatically without ever needing to hit save. They are even working on building out a Clinical Decision Support dashboard & parent engagement tools in 2024!
  • Cons: They only have asynchronous video that allows supervisors to model interventions for direct service providers. It was hard to find many flaws.
  • Notable Integrations: Aloha, TherapyPMS, and Lumary

SpectrumAi:

  • Features: Multiple Data Types, Task Analysis, Graphing, Session Note Generation, Video
  • Pros: Their claim to fame is data collection with video tagging so that it’s very easy to visually review what happened when data was collected. It’s an incredibly impressive feature that no other tool offers. Additionally, a work in progress but they also are hopeful that customers on their platform will be able to get higher rates with payors as the company also partner with payors to support providers shifting to value-based payment structures.  They likely also have the most venture capital funding (including Aetna/CVS Health and a BCBS plan) of the newer companies so their ability to add features and achieve feature parity with the other platforms seems possible in 2024.
  • Cons: They do not have customized session note templates (coming soon in Q1 2024!) and are still building out their program libraries.
  • Integrations: Lumary but other ones coming soon

There’s a chance we demo-ed them and feel like they’ll be really good in 2025 or they’ve ghosted our demo request. There’s also a few we just haven’t spoken to yet as they’re so new or soon to be released so we thought we’d at least provide the exhaustive list as we know of!

Key Considerations When Choosing a Data Collection Solution

  • Integrations: The best platforms should set themselves up to seamlessly integrate with your favorite/existing tools.
  • User Experience: These days, if it’s not pretty and simple, therapists and administrators will complain and won’t adopt it.
  • Scalability: Ensure the tool grows with your practice. Every mistake a platform has becomes more and more annoying if it repeatedly fails your company.
  • Customization and Configuration: Allowing a company to have flexibility in its workflows can make adoption a lot easier.
  • Data Security: HIPAA-compliance is a must have
  • Uptime: Losing data that doesn’t save is such a large of a headache for all therapists and admin

Conclusion: Embrace Technology or Lose the Competitive Edge

Data collection solutions are definitely not yet a commodity in 2024, but they may start to be in 2025. I hope the leading companies prove us wrong and continue to deliver new features we never even dreamed of.
